Appendix 29 INTERNAL COMMUNICATONS CROSS FUNCTIONAL TEAM
TERMS OF REFERENCE
Approved January 2009
1) MANDATE
To offer recommendations to the Management Team to improve internal communications among departments in the Agency and to plan staff social events.
2) COMPOSITION
- 6 staff who are representatives of all sectors of the Agency and approved by the Management Team.
- One member of the Management Team.
- Executive Director.
- The team will choose from among the members, the Chairperson and Secretary at the September meeting.
3) TERM
The length of term will be no longer than three years with a minimum of two staff turning over annually.
4) QUORUM
A quorum will consist of not less than 4 members.
5) DECISION MAKING
All decisions will be determined by consensus.
6) SCHEDULE
A minimum of once per month.
7) AUTHORITY
The Internal Communication Cross Functional Team is a standing committee of St. Leonard’s Community Services reporting to the Management Team.
8) ROLES AND RESPONSIBILITIES
- To identify strategies to improve lateral communications.
- To monitor lateral communications.
- To develop and implement an internal communications plan.
- To assist with the implementation of strategies to improve communications.
- To identify, plan and implement social events for staff and their families including the staff Christmas party.
- To publish quarterly internal newsletter.
- The Chair of the team is to notify the Human Resources Administrator of any changes to the membership.
