6-320 JOB DESCRIPTIONS

POLICY
The Agency maintains job descriptions for all Agency positions, which include qualifications, job title, reporting protocol, job summary, organizational responsibilities and service responsibilities sorted by operational function.
PROCEDURE
Service Directors are responsible for approving job descriptions for positions within their departments.
Job descriptions are maintained by the Human Resources Administrator.
Maintenance of Existing Job Descriptions
Staff have input into this procedure during annual performance evaluations. Their Supervisors will forward the staff’s suggested changes to the Service Director. The Service Director will respond in writing to the staff within thirty days whether or not the job description changes will be approved.
Changes approved by the Service Director will be forwarded to the Human Resources Administrator for input and distribution to all staff in that job class.
Service Directors may submit job description changes at any time during the year if they feel that the changes warrant a revaluing of the job. The job will be reviewed at the next meeting of the Job Valuation Team.
New Job Descriptions
When a new position is created within the Agency, the job description must be valued by the Job Valuation Team prior to the position being filled.
A Job Description Questionnaire will be completed by the Service Director or his/her delegate and will be submitted to the Human Resources Administrator. An interview will be conducted by the Human Resources Administrator with the individual who completed the questionnaire to gather additional information. The Human Resources Administrator will then prepare a draft job description that will go to the Service Director for review and approval.
The job will be valued at the next scheduled Job Valuation Team meeting or if necessary the Human Resources Administrator will call a meeting of the Job Valuation Team to value the job prior to the next scheduled meeting.
