6-280 PERFORMANCE EVALUATIONS

POLICY

All staff will be evaluated regularly following his/her probationary period.

PROCEDURE

All new staff will be evaluated prior to the end of his/her probationary period.

Staff submit written objectives to his/her Supervisor upon completion of his/her probationary period and annually on his/her start date thereafter.

A Performance Evaluation will be completed by the staff’s Supervisor and shared with the staff at least one month prior to the expiry of the staff's employment anniversary date.

The Performance Evaluation will measure performance against the tasks outlined in the job description and the objectives, which are to be set annually by the staff and his/her Supervisor.  All evaluations will contain a narrative comment for each task in the job description.

The Performance Evaluation involves the following procedures:

  1. The Supervisor will provide the staff with a draft written evaluation.  The staff will review the evaluation adding additional comments and objectives in writing.  The staff will return the amended evaluation to his/her Supervisor within 5 working days.
    The performance evaluation is then discussed with a view to identifying strengths and areas for improvement in the staff's performance and to set objectives for the upcoming year.
  1. Job descriptions are reviewed and if necessary amended by the Supervisor.  The job description is reviewed during the evaluation process.  The staff performance evaluation form has a notation that the job description is accurate or needs to be amended.  The form is signed by both parties annually at the anniversary date of the staff.
  2. The Resources Committee of the Board of Directors will evaluate the Executive Director's performance annually, using the procedure outlined above. 
  3. All staff will receive a copy and acknowledge receipt of his/her evaluation.  The original will be retained in the staff's Human Resources file.  Staff disagreeing with his/her evaluation may submit written comments for his/her Human Resources file.
  4. The Performance Evaluation Form is contained in the Appendix to the Human Resources Policy, in the Staff Supervision Model – Appendix 10.
  5. Annual objectives will be discussed and amended at regular supervision meetings.
