6-740 SAFE DRIVING

POLICY

St. Leonard’s Community Services is committed to ensuring the physical safety of staff and clients, while traveling on Agency business.

PROCEDURE

AGENCY RESPONSIBILITY 

The Agency will endeavour to maintain safe driving by the following:

  1. To ensure that all Agency vehicles are maintained in a safe, clean and roadworthy condition in order to ensure the maximum safety of the driver, clients and other road users.
  2. To ensure that authorized drivers of Agency vehicles are appropriately licenced and demonstrate safe driving habits.
  3. To encourage safe driving practices and not require staff to drive under conditions that are unsafe and/or likely to create an unsafe environment.
  4. To provide vehicles that are appropriate for his/her intended use.
  5. To give priority to safety features when selecting and purchasing new vehicles.
  6. To ensure all vehicles are well-maintained.
  7. To provide routine vehicle maintenance.
  8. To provide emergency equipment (first-aid kit, fire extinguisher and emergency reflectors) for each vehicle.

STAFF RESPONSIBILITY

  1. To comply with all traffic laws and practice good road safety habits.
  2. To report vehicle defects or safety concerns to a Supervisor or Manager immediately.
  3. To report all driving accidents or incidents immediately, whether or not they result in injury.
  4. To possess a valid driver’s licence and report any changes to the status of the licence immediately to a Supervisor and the Human Resources Administrator.
  5. To meet the costs of fines for any traffic violations unless approved for payment by the staff’s Service Director.
  6. To complete the Vehicle Inspection Log at a minimum of once per day, prior to the initial trip of the day.   See Appendix 13.

There is no smoking permitted in any Agency vehicles.

Gas levels in all vehicles must be maintained at a minimum of ½ tank.

Vehicles must be locked at all times.

Cell phone use, texting and emailing are not permitted while driving on Agency business.  Other prohibited hand-held devices include Blackberries, iPods, MP3 players, latops, portable games and GPS units. Drivers must pull over and park to make or answer calls, or respond to texts or emails. When it is unsafe to pull over, unanswered calls will be forwarded to voicemail and retrieved when safe to do so.

Staff will be personally responsible for any fines and/or legal fees incurred as a result of not following this policy, whether driving an Agency or personal vehicle.

At the discretion of the Service Director, legal Hands-Free devices may be used upon approval, when deemed essential for the position.

Vehicles must be left clean and orderly after each use.

The Manager/Delegate will ensure that vehicles are serviced as per the service schedule or manufacturer’s recommendation.

The Vehicle Inspection Log will be kept in the glove compartment of each vehicle.

The Manager/Delegate will forward the Vehicle Inspection Log monthly to the Service Director for review and sign off.  The Vehicle Inspection Log will then be forwarded to Human Resources where a copy will be retained.  The original copy will be returned to the department for filing.
