6-230 STUDENT RECRUITMENT, SELECTION AND ORIENTATION

POLICY
Through student placements, the Agency contributes to the development of skills and professionalism in the social services sector. The use of students in an organized manner also enhances programs and helps the Agency to fulfil its mandate.
The Agency will ensure that appropriate procedures are in place for the screening, orientation, training, supervision, recognition and evaluation of students.
PROCEDURE
- Student placements are recruited from recognized educational programs that correspond to the programs and services provided by St. Leonard’s Community Services.
- The recruitment, placement and supervision of students will be part of an established agreement with the educational institution.
- All students will be interviewed by the Service Director/Finance Director or delegate prior to acceptance for placement. The purpose of the interview is to determine the appropriateness of the student to the placement and to match the student’s level of training and skill to the duties and responsibilities of the placement.
- The interview should include an evaluation of:
- The student’s general presentation and preparation for the interview.
- The student’s motivation and direction, i.e. personal and professional goals.
- The student’s knowledge and experience, i.e. knowledge of the Agency and the profession and ability to apply course work to practice.
- The student’s awareness of the placement as a learning process i.e. the role of the student in practicum, ability to maintain appropriate boundaries, ability to accept feedback, team work and the role of the practicum in his/her training.
- The student will provide the interviewer with a resume and past evaluations if available.
- The student will provide his consent or a written release of information to allow the educational institution to provide information to the Agency regarding all previous field performance and academic performance upon request.
- The standard application will be completed. The student will be advised of the balance of the recruitment procedure and that a Police Clearance Certificate, Vulnerable Sector Query and a Medical Examination and proof of immunization will be required, if a formal offer is made.
- Following the interview, the Agency will inform the educational institution whether the student is accepted for placement or reasons for not being accepted to the placement.
- If the student is not accepted, the Agency will provide feedback to the student about the interview.
- The Agency maintains brief records pertaining to students, which include the application, formal contracts or written agreements with educational institutions, progress records and evaluation reports.
- Students will go through the same Agency orientation procedures as staff and will sign a document indicating completion of orientation. This document will be placed in the student’s file.
- Each student accepted for placement will receive a written offer of placement and a student job description that includes a clear statement of the student’s duties and expectations while on placement. Students on placement will be responsible to adhere to the Agency’s policies and procedures and to maintain Agency and client confidentiality.
- The Agency will assign a Supervisor to the student. The Supervisor will provide the student with supervision and regular feedback about the performance of his/her duties. The Supervisor will also provide the student and the educational institution with regular evaluations as required under the terms of the practicum.
- Students have access to client files as part of their learning process. If students provide individual or group support to clients, their role will be described in the client’s Treatment/Action Plan.
- Students are prohibited from being left alone or in charge of a client program or service
- Students are not permitted to engage in any physical restraints involving clients.
- Students under the age of 19 are prohibited from working in certain programs (e.g. Correctional Services Canada). The use of students under the age of 19 in other programs is at the discretion of the Service Director.
- Service Directors may authorize students to accompany clients on outings. Students may have access to Agency vehicles as long as they are in possession and have provided a copy of a valid driver’s licence.
- The Agency reserves the right to terminate a placement prior to the scheduled end of the placement. This will be done only as a last resort and in consultation with the Field Supervisor from the educational institution.
